1. General provisions:

1.1.You do not use email hosted at Mắt Bão to sendSPAMthư ADVERTISING, BULK MAIL, MASS MAIL, BOMB MAIL, …we may suspend or terminate the service without refund, depending on the severity of the breach and its impact. We do not accept email spam of any kind, even where it is unintentional because a virus is controlling this behavior through your email service.

1.2.You are responsible for controlling outbound Email from your Email accounts. Any consequences ofSPAM, ADVERTISING mail, BULK MAIL, MASS MAIL, BOMB MAIL, …results in the IP address being blocked by anti-spam organizations, you will be responsible for it.
Reputable international blacklist organizations:

There are many international anti-spam organizations. We refer here only to the following four, which service providers commonly use:

  1. Spamhaus: http://www.spamhaus.org
  2. The Barracuda Reputation Block List: http://www.barracudacentral.org
  3. UCE Protect Network: http://www.uceprotect.net
  4. Sorbs: http://www.sorbs.net/

1.3. For Cloud Servers and Email Servers using a dedicated IP address: we do not accept support requests to change to a different IP address when an IP is blacklisted. You must first resolve the underlying issues yourself — removing viruses and malware, cleaning infected files, taking down phishing links, stopping outbound spam and so on — on your own server. Blacklist organizations then automatically remove the IP address from their lists after roughly two weeks.

1.4. For security reasons, an Email account may only be logged in to from one IP address on the internet. Our Email servers do not support simultaneous logins to a single Email account from multiple IP addresses.

1.5. You must understand and accept the webmail interface we provide. We do not support changing the webmail interface on request or to your own specifications.

1.6. Use only the functions available in the Email administration tool we provide. We aim to give the majority of users the features rated best. For that reason, we cannot customize the service to your individual requirements and criteria.

1.7. No per-domain administrator (admin) account is provided. Only a single administrator account is issued, allowing you to manage centrally all email addresses you use under this plan; that is, the account used to log in to the email service administration console (Control Panel).

1.8. We respect your personal email data, which means you always have the right to take your own backups. We will not intervene under any circumstances to retrieve lost email or to restore messages lost while you were using rules or email filters in third-party software such as Outlook, Thunderbird or Windows Live Mail, or deleting email.for any reason, whether accidental or intentional.

1.9. Send/receive limits for the email account:

Sending limits apply to the recipient rate and to the number of recipients per message that a user may send from an account.

Note:

For distribution groups (mailing lists) stored in the organization's address book, the group counts as one recipient. For distribution groups stored in an email address's Contacts folder, the members of the group are counted individually.

  • Recipient rate limit: prevents users and applications from sending large volumes of mail in a short period. These limits apply per user to externally addressed mail.

If you need to send legitimate bulk commercial mail (for example, customer newsletters, event promotions or product offers), we recommend using third-party providers that specialize in these services.

  • Send rate limit: this sets the number of messages a user can send from your account within a given period. The limit prevents a single sender from consuming excessive system resources. If a user sends messages faster than the limit through an SMTP client, the messages are rejected and will have to be retried.

1.10. File extensions that cannot be included as attachments:

To protect your account, Mắt Bão does not allow you to attach files with certain extensions. Mắt Bão regularly updates the list of disallowed extensions to keep pace with constantly changing malicious software. Some examples include:

exe, com, iso, jar, vbs, bat, pif, scr, hta, js, cmd, chm, ade, adp, cab, ins, isp, jse, lib, mde, msc, msp, mst, msp, nsh, sct, shb, vxd, wsc, wsf, cpl, jsp, reg, vbe, lnk, dll, dmg, sys, btm, msi, prf, wsh, vb, …

If you are confident the file is safe, you can ask the sender to upload itGoogle Drive, OneDrive, Dropbox, v.v…Then send it as a Drive attachment (link download) and can set a password for (link download) helps keep your information secure.

1.11. Attachment types not permitted for sending or receiving:

To protect you from potential viruses and harmful software, Mắt Bão does not allow you to attach files whose extensions appear on the prohibited list inđiều clause 1.10, including:

– Compressed attachments (such as .gz or .bz2 files), or whereharmful viruses and malwarefound inside an archive (such as a .zip or .tgz file)

– Documents containing macros (that is, malicious code embedded in your documents, which may originate from a virus on the computer).

1.12. Account password policy:

For user account security, account passwords must meet complexity requirements and may expire after 90 days. You need to set a new user password after a defined period in order to continue using the service.

1.13. Spam and abuse policy:

When you register an email account for business use, you agree that your users and partners will not send spam, distribute viruses or abuse the service. All users on your domain must comply with these terms, which form part of our acceptable use policy. You agree not to, and not to permit any third party or end user of yours to, use the email service for the following:

– Deliberately sending, or facilitating the sending of, commercial email in bulk.

– Infringing the lawful rights of others, or encouraging conduct that is unlawful, invasive, infringing, defamatory or fraudulent.

– Deliberately distributing viruses, worms, trojans, corrupted files, hoaxes or other destructive or fraudulent items outside your organization.

– Interfering with use of the service, or with the equipment used to provide the service, by customers, authorized resellers or other authorized users.

– To alter, disable, interfere with or circumvent any aspect of the service.

– To test or reverse-engineer the service in order to find limitations or vulnerabilities, or to evade filtering.

– To give multiple individuals access to an individual end-user account beyond the delegation features provided in the service.

– To create end-user accounts assigned to business functions rather than to individuals, for the purpose of sharing files inside or outside the domain.

– To resell the end-user Account, or parts of that account bundled into a commercial product supplied to a third party.

– To record audio or video communications without consent where consent is required by applicable laws and regulations (you are solely responsible for ensuring compliance with all applicable laws and regulations in the relevant jurisdiction(s)).

If Mắt Bão determines that an Email user has breached these terms, we may suspend that user immediately. If the problem affects the entire domain, we may suspend the whole account and revoke the administrator's access to all Email services. In such cases we send a notice to the secondary email address registered for the domain administrator.

  1. First violation: suspension and remediation within 24 hours.
  2. Second violation: suspension and remediation within 24 hours.
  3. Third violation: service suspension with no refund.

1.14. SMTP relay spam policy:

If you use the SMTP relay service to send email through our email servers, you may receive an email notification if we detect a large volume of spam originating from any user account you have created, or from a non-existent account. User accounts that do not exist on your domain, or where your domain was presented in the HELO argument during SMTP relay, will not be permitted to relay through our email servers in any form.

After 24 hours, if a user account belonging to your organization is still sending spam, the account will be suspended. You will receive a second alert informing you of the suspension. Your account will be restored to normal use once the issue has been resolved.

You will also receive a second alert if any other user account in your organization is still sending spam after 24 hours. We recommend that you suspend these accounts until you identify the source of the spam and resolve the issue.

1.15. Inbound spam policy:

If you are using Mắt Bão's email servers, you may receive a notification if we detect any suspicious external transaction directed at a created account or at an account that does not actually exist. In such cases, the suspicious transaction will be quarantined, or the delivery of spam, virus-spreading messages, or deliberately abusive messages from the sender to you will be rejected.

After 24 hours, the user account receives a system report listing the messages sent to them that were quarantined the previous day. Users can review the quarantine themselves and allow, block or delete the messages held there.

1.16. Mailbox usage policy:

To protect your privacy and data security, we take no responsibility for your data and cannot intervene when email is configured on, or downloaded to, a personal computer through third-party client software and you experience data loss. Examples include Outlook, Thunderbird, Outlook mobile, and mobile email clients.

To keep your mailbox secure and minimize risk, we recommend the following steps to help protect it:

  • If you want to use your mailbox on several devices, you should configure it using the connection standardIMAPwith a connection portSSL/TLSand make sure only you know the password, to avoid unintended loss of your data.
  • If you want to download all mail from a mailbox to your own computer using third-party software so that you can manage it yourself, you should configure the connection using thePOPwith a connection portSSL/TLSand make sure the mailbox is configured only with the standard connection settingsPOPon a single personal computer in active use, and not to share any information relating to this mailbox with anyone else for shared use.

Important points to be aware of:

  • When you configure the mailbox using the standard connectionPOP: pleaseona feature that stores a copy of the data on the server andoffthe option to have this data automatically deleted from the server after a set number of days, so that your email data stays safe once downloaded to your computer while an additional backup copy remains on our servers.
  • If you do not enable these two features, mailbox data will by default be downloaded in full to your own computer and no copy will be retained on our server for as long as you use this mailbox.
  • Connection standardPOPdownloads only the contents of the Inbox.

➜ So think carefully before configuring the mailbox in third-party software using the connection standardPOP.

1.17. Mail port usage policy:

For Email services, Mắt Bão will decline SMTP authentication you configure in applications (Webmail, Outlook, Thunderbird, Outlook mobile, Email for mobile, etc.) for sending outbound email through port 25, for reasons of system security and to reduce the risk of your mailbox being exploited to send spam through that port.

Mắt Bão therefore recommends that all SMTP authentication connections useport 465 with SSLorport 587 with TLS.

For POP and IMAP connections used to receive email, please use995 and 993 with SSLso that the connection from client to server is always secure.

Important points to be aware of:

  • CurrentlyWindows XPandWindows 7no longer meets the connection standardTLSv1.2new. That makes it easier for malware, viruses, and attackers to abuse it for email spam. The computers in usemail applications (Outlook, Thunderbird, Outlook mobile, mobile email clients, and so on)with these two Windows versions will no longer be able to connect to the mail server at Mắt Bão after1/10/2022.

➜ To make this work, upgrade to a newer version of Windows or use webmail instead.

1.18. Your outbound email may be blocked if it contains content, images or links capable of spreading viruses, or fraudulent content. Our outbound email filter blocks such messages not only to protect the IP address and mail server you are using, but also to keep your own email domain off blacklists and preserve its sending reputation.

1.19. You must ensure that all DNS values we provide are fully configured, so that email delivery is properly authenticated and as reliable as possible.

1.20. Many third-party applications can be integrated and used successfully with the Email service at Mắt Bão, for example:Outlook, Thunder Bird, Window Mail, …However, we can only help you configure an email account registered at Mắt Bão for use in these applications. Issues involving data, rules, heavy software or slow performance fall outside the support we can provide.

1.21. Add-on service usage policy (add-ons):

If your email service includes add-on plans that expire and you do not wish to renew them but want to keep the main service, you must meet the following requirements:

- The main plan's specifications must cover the resources you are using.

- You upgrade to a larger main plan that covers the resources you are using, and do not need to renew the add-on plans you had previously.

If your resource usage exceeds the limits of your main email plan, the following options are available to you:

- Within 72 hours of discontinuing an add-on plan, you must bring resource usage down below the limits of the main plan you will be using.

- If you have not brought resource usage back within your main email plan after 72 hours, we will suspend your email service until you resolve the overage.

So please consider carefullyrenewal of add-on service packageswhen the resources you are using exceed the limits of your main service plan, in order to avoid interrupting your work.

2. For the Email service bundled with Cloud Hosting and on Cloud Server systems:

You understand and agree that we do not guarantee optimal performance or stability for the Email service bundled with Cloud Hosting packages, or for an Email service installed and used on your Cloud Server, for the following reasons:

  • The IP address of a Cloud Hosting/Cloud Server is easily blacklisted because websites running on that server can be exploited through security vulnerabilities to inject malware or viruses, or host phishing links, affecting the entire IP address or even an entire IP range.
  • The Email service runs at reduced performance because performance is prioritized for the operation of Websites and Databases.
  • Server resources and the system's optimized configuration mainly serve website operation.
  • Email storage capacity is low because the plan is focused on hosting websites and databases.

Email service bundled with Cloud Hosting:

  1. The Email service bundled with Hosting (also called Email Hosting) applies only to the plansCloud Linux HostingandCloud Windows Hosting. Not applicable to the planWordPress Hosting 2019andMWP – Managed WordPress Hosting.
  2. The Email service bundled with Cloud Hosting at Mắt Bão is fully separated from the Cloud Hosting server, making it easy to upgrade to theProfessional emailwhere the customer needs more from the Email service's features.
  3. Email Hosting is completely free (0 VND) and its term matches that of the Cloud Hosting service.
  4. When the Cloud Hosting service is activated, the Email service bundled with the Hosting is not activated automatically. When Email is needed, the customer can log in to the IDPortal (id.matbao.net) to activate and start using the Email Hosting service.
  5. Email Hosting service limits:
    • Mail groups and mailing lists are not supported.
    • Automatic email forwarding is not supported on the outbound side. Automatic email forwarding is supported for inbound mail only.
    • Email Hosting does not support SMTP routing (email relay — typically used when mail cannot be sent because of network congestion, because the IP has been blacklisted, or because the recipient's server has rejected it).
    • Email Hosting uses only the filters available in the Control Panel; integration with any other third-party mail filter is not supported.
    • Email Hosting does not include data backup or restore.

Note:The limits above apply only to Email Hosting plans; they are fully supported on the Professional Email and Email4B plans.

3. Limits specific to the Email Pro account:

Sending and receiving limits:

  • Forwarding limit (Forward to):
    1. You can configure automatic forwarding of incoming email (Auto Forward Email) yourself from the administration Control Panel. However, to comply with anti-spam principles and to reduce the risk of business correspondence being leaked, you cannot configure forwarding to addresses on the common free email platforms.
      • For example: Gmail, Outlook, Hotmail, Yahoo, …
    2. You will also be unable to configure automatic email forwarding on the outbound side (auto forward for outgoing mail).
  • Receiving limit:
    1. Each incoming email is limited to a maximum of 30MB, including attachments. If you receive an email larger than 30MB, it may be rejected by our email server and bounced back to the sender. For large emails, we therefore recommend asking the other party to send you a download link instead (Link download) into the email body.
    2. Our mail server does not limit the number of emails you can receive. We do recommend keeping your inbox below 20,000 stored messages to maintain email service performance.
  • Sending limit:
    1. Sending limits apply to the recipient rate and the number of recipients per message a user may send from their email address.
    2. Each email you send via SMTP is subject to a maximum size of 30MB, including attachments. If an outgoing email exceeds 30MB it may be rejected by our email servers and you will receive a bounce notification.
  • Recipient rate limits: to prevent bulk mailing, Email Pro applies recipient limits that stop users and applications sending large volumes of mail. These limits apply per user to externally addressed mail.

If you need to send legitimate bulk commercial email (customer newsletters, event promotion, product offers, and the like), you should use a third-party provider that specializes in these services.

  • Send rate limits: defines how many messages a user can send from your account within a given period. This limit prevents any one sender from consuming excessive system resources. 4. Specific limitations of the email forwarding service at Mắt Bão:

When using the Email forwarding service at Mắt Bão, you must comply with the following rules (including but not limited to):

  • Each domain using the email forwarding service is limited to a maximum of 5 email addresses.
  • The maximum number of forwarded messages per day is 10 for the entire domain.
  • We may intervene and suspend the email forwarding service if we detect breaches of the terms of service, email spam, network flooding attacks or email spoofing.
  • Email forwarding depends on the domain. If the domain expires and you do not renew it in time, our system will also automatically stop providing the email forwarding service.


Note: if your email requirements are greater than this, contact our Consultation team and we will advise on email solutions that fit your needs.

5. Limits specific to the Email4B v2 account:

Sending and receiving limits:

Receiving and sending limits are applied to block spam and mass-mailing worms or viruses. These limits help protect the health of our system and keep our users safe.

  • Receiving limit:
    1. Each incoming email is limited to a maximum of 50MB, including attachments. If you receive an email larger than 50MB, it may be rejected by our email server and bounced back to the sender. For large emails, we therefore recommend asking the other party to send you a download link instead (Link download) into the email body.
    2. Our mail server does not limit the number of emails you can receive. We do recommend keeping your inbox below 20,000 stored messages to maintain email service performance.
  • Sending limits:

Sending limits apply to the recipient rate and the number of recipients per message that a user can send from their email address. Sending limits may change without prior notice.

  • Recipient rate limits: To prevent bulk mailing, Email4B v2 applies recipient limits that stop users and applications sending large volumes of mail. These limits apply per user to externally addressed mail.

Maintenance limits:

These limits control how long messages in specific folders within the Inbox remain accessible.

Account best practices:

– Avoid bulk activity:select fewer than 1,000 messages at a time when performing operations such as deleting email, removing spam, applying labels (subfolders within the inbox) or archiving messages.
– Reduce labels (subfolders within the inbox):too many labels can slow down processing. For best performance, Mắt Bão recommends using fewer than 500 labels (including nested labels) in your account, and using search and filters to help find messages. When switching to an Email4B v2 account, consolidate your mail folders before migrating old email into Mắt Bão's Email4B v2.
– Reduce the number of messages in your inbox:you should try to keep your inbox below 20,000 stored messages to maintain email service performance.
