SAP is a cloud-based email filtering service that protects your organization against email-borne attacks — malware, phishing, bulk mail and spam — and adds features that protect your organization against policy breaches in outbound email. SAP simplifies the management of your email environment and improves the performance of the email service you already use.

1. General provisions:

1.1.You may not use the outbound SAP service at HiTechCloud or Pho Tue SoftWare Solutions JSC to send spam, advertising mail, bulk mail, mass mail or mail bombs. We may suspend or terminate the service without refund, depending on the severity of the breach and its impact. We do not accept any form of email spam, even where the activity is unintentional — for example where a virus is controlling this behavior on your email service.

1.2.You are responsible for controlling outbound email sent from your mail accounts. You bear sole responsibility for any consequences of SPAM, ADVERTISING mail, BULK MAIL, MASS MAIL, BOMB MAIL, etc. that result in the IP address being blocked by anti-spam organizations.

Reputable international blacklist organizations:
There are many international anti-spam organizations. We refer here only to the following three, which service providers commonly use:

1.3.You should be aware that this software's detection rate is up to 99%, based on artificial intelligence technology developed by Microsoft. There are, however, two situations in which you may still receive an email containing malware:

– The first and most likely scenario is that the attachment received contains no active malicious code. In these cases, some antimalware tools running on the computer (e.g., Windows Defender, Kaspersky…) may be strong enough to stop such software from executing.

– Second, the malware you received is a new variant and our anti-malware partners have not yet released a signature file for the service to deploy. The time it takes for an update to be released depends on those anti-malware partners.

If either of the two cases above applies to you, please contact our technical team immediately so the matter can be handled right away.

HiTechCloud, or Pho Tue SoftWare Solutions JSC, always recommends that users do not open email attachments or links they are unsure about, and that they keep anti-malware programs running on their computers at all times.

2. For outbound SAP service (you send mail to partners):

2.2.To protect the reputation of your email address, HiTechCloud (Pho Tue SoftWare Solutions JSC) does not allow certain types of file attachments. HiTechCloud (Pho Tue SoftWare Solutions JSC) continuously updates this list in real time to reflect global trends. Examples include:

If you are certain the files are safe, upload them to Google Drive, OneDrive, Dropbox or similar, then send them as an attached link.

3. For inbound SAP service (you receive mail from partners):

3.2.Anti-malware / antivirus feature (Anti-Malware / Virus):

Advanced protection for email sent to and received through the SAP system; it does not cover internal mail within email Pro or email 4B.

Each SAP server updates its malware and virus lists from reputable partners including Microsoft and anti-malware organizations worldwide. HiTechCloud and Pho Tue SoftWare Solutions JSC maintain partnerships with several of the best anti-malware technology vendors. The number of partners may change, but all of our customers are automatically protected by multiple anti-malware partners at all times.

Each configuration change on the anti-malware system may take up to 60 minutes to propagate to all servers built for the SAP service.

The anti-malware / antivirus program scans for and handles all malware known worldwide. Suspicious malicious software is flagged, and messages tagged [SPAM] are moved to the user’s JUNK mailbox.

Files compressed in .zip format are still scanned and processed by the system if they contain malware.

3.3.Anti-spam feature (Anti-Spam):

SAP uses Microsoft's proprietary anti-spam technology to achieve a high accuracy rate. The service provides strong connection filtering and content filtering on all inbound messages. Spam filtering is also always on if you use the outbound SAP service to send email, which protects both the organizations using the service and their intended recipients.

Connection filtering (Connection Filtering):SAP checks the sender's reputation before allowing an email through. You can create an allow list or safe sender list to make sure you receive all email sent to you from a particular IP address or IP range. You can also create a list of IP addresses to block email from, known as a block list. For more information, contact the technical support team at HiTechCloud or Pho Tue SoftWare Solutions JSC.

Spam filtering (anti-spam):SAP checks messages for spam characteristics using spam filtering (spam score). You can change the action taken on messages identified as spam, and filter messages written in specific languages or sent from specific countries or regions. You can also enable advanced spam filtering options if you want your organization to block junk email outright, along with messages suspected of attempting bulk delivery into your system.

For inbound email (mail you receive):Most spam is removed by connection filtering, based on the sender's IP address. The service then inspects the content of the message. By default, content-filtered spam is delivered to the recipient's Junk Email folder. You can change this behavior. For example, you can tag the message [SPAM] and keep it in the inbox, so that mail from partners whose sending systems have a weaker reputation is not missed.

For outbound email (mail you send):If an email's content is assessed as SPAM, the message will either be routed to a higher-risk delivery pool or be returned and not sent; in that case the sender receives a delivery status notification (DSN) informing them that the message could not be delivered.

The SAP service provides a URL (path, link) filter that inspects the URLs contained in an email. If URLs linked to spam or malicious content are detected, the email is marked as SPAM
